Scope of Job: Works directly with the Sr. Manager Health, Safety & Environment in assisting with tracking, administrating, formulating and implementing policies and procedures that promote a safe and healthful atmosphere within the workplace, as well as comply with all federal, state and local environmental and safety regulations. Responsibilities:
20%- Manage the organization’s safety regulatory reporting and record keeping requirements, internally and with external entities as well as generate all internal and external metrics reports on a periodic and as needed basis.
10%- Monitor and update the HSE Center on an ongoing basis.
10%- Assist in the development, design, implementation and ongoing maintenance of the organization’s Incident Management tool.
5%- Oversee incident reporting process, including assisting HSE Specialists and departmental management in making corrections and resolving issues as needed.
15%- Coordinate the HSE Document Control process; including but not limited to; the review process, tracking of all changes, ensure documents are translated as required, distributing approved documents and ensuring the HSE Manual is current and accurate.
10%- Assist with department budget management and project tracking.
5%- Develop, coordinate and distribute HSE communications; including but not limited to; weekly safety messages, metrics reports, incident review reports, internal department reports and HSE updates in other organizational publications.
10%- Work with HSE specialists in providing technical support in areas including but not limited to AED system review, Job Hazard Analysis reviews, contractor management support, Safety Observation tracking, DOT compliance, Safety Awards and Recognition programs and environmental compliance support. 10%- Provide general administrative and clerical support; including but not limited to; ordering and shipping HSE program materials, ordering and maintaining office supplies/equipment, managing SAP purchase orders and requisitions/invoices and tracking department training in the company approved system as needed.
5%- Other duties as assigned
Qualifications: • Must have good written and oral communication skills with the ability to communicate with all levels of the organization. Ability to work well with all levels of management, build relationships and credibility.• Must be energetic, well organized, and able to manage shifting priorities. • Demonstrated ability to prioritize, assist in projects, work under pressure, meet deadlines, adapt to shifting priorities and changing work situations and be solution oriented.• Must have a valid driver’s license with clean DMV record.
Education/Experience:• 3 years of safety administration experience preferred.• Must have working knowledge of Code of Federal Regulations
Skills/Knowledge/Abilities: Working knowledge with various Microsoft software programs including but not limited to SharePoint, Word, Outlook, Excel and PowerPoint.
Physical Requirements: This position will perform most of their work activities in a typical office environment that requires sitting, standing, and walking for up to 9 hours per day. There will be field training opportunities that may include climbing at heights.
Working Conditions: 100% of time spent in the office environment, utilizing computer, phones and general office equipment and supplies for reporting functions and record keeping. Percentage of working times is approximate. Some travel opportunities may be made available on an as needed basis.
